Practice Director

The Practice Director oversees overall business operations for Sanctuary Functional Medicine, a growing practice in Franklin, TN.  This director must be fully prepared to work daily, as well as oversee areas of patient experience, clinic flow, patient scheduling, financial reporting, billing, collections, and coding.

Duties:

• Collaborate with physician owner on business strategies and patient services
• Oversees HR function for Patient Support Services, Lab Manager, Nursing and Mid-level providers. (Direct supervision of Patient Support and Lab)
  • Recruit, hire, train and terminate personnel
    • Training of clinical staff will be directed by the physician owner
  • Ensuring all federal and state guidelines are followed for hiring
  • Supervise staff schedules and performance reviews
  • Comfortable with reviewing concerns and issues and conflict resolution
  • Maintains all personnel files
• Complete bi-weekly payroll for both employees and contractors
  • Following appropriate state and federal guidelines
• Onboarding of all staff, including providers and contractors
  • Includes background checks, license verification, hire letters, job descriptions, etc.
  • Establish appropriate software and other log in as needed
  • Review with staff all internal policies on OSHA, overtime, hours of work, incident reporting, etc.
• Responsible for processes and procedures for external vendors. Liaison with those vendors as appropriate.
• Create and implement clinic policies and procedures
• This position must understand and have detailed experience in the use of electronic medical records and scheduling systems
  • Must be proficient in making appointments and answering phone when support staff are not available
  • Responsible for maintaining the clinic template for physician and mid-level providers
• Attention to detail regarding the patient experience. Including talking to patients about concerns or other details in the clinic
• Direct the process of setting up invoices and forms for patients, as well as collection of outstanding debts and CPT/ICD 10 coding
• Responsible for set up and knowledge of outside software and other services used
  • Examples: DocuSign, Active Campaign, phone system, Zoom, Twilio, Stripe
• Financial reporting
  • Internal report preparation as needed
  • Work with accountant to ensure vendors are paid in a timely manner
• Responsible for keeping current on legal issues. Including but not limited to

  • Documentation
  • Medical Records
  • Consent forms
  • Controlled substances
  • NP/PA protocols and requirements
  • OSHA
  • Business associate agreements
• When necessary, acts a liaison between owner and
  • Accountant
  • Contractors
  • Patients
  • Vendors
  • Landlord
  • Special events
  • Others as needed

Experience and Education:

• Master’s degree in health care administration or business administration preferred
• Bachelor’s degree in health care administration or business administration required
• Minimum of 5 years’ experience in the administration of an outpatient clinic

Knowledge, Skills and Abilities:

• Knowledge of principles and practices of health care planning and management sufficient to manage, direct and coordinate the operations of the clinic
• Knowledge of practice software and electronic medical records
• Knowledge of third party payor guidelines, reimbursement and coding
• General knowledge of accounting practices and procedures
• Knowledge of licensing requirements
• Skill in exercising a high degree of initiative, judgement, discretion and decision making to achieve clinic objectives
• Skill in planning, organizing, delegating and supervising
• Skill in verbal and written communication
• Ability to assume responsibility and exercise authority over assigned work functions
• Ability to take initiative and to exercise independent judgement, decision making and problem solving expertise
• Ability to organize and integrate organizational priorities and deadlines
• Ability to competently use practice management software, Microsoft office including Word, Excel and other software used at Sanctuary Functional Medicine

Physical Requirements:

• Must possess the physical and mental abilities to perform the tasks normally associated an Administrator, including walking, standing, reaching and bending

Work Environment;

• Medical office setting
• Work may be stressful due to interaction with chronically ill patients and/or interaction with others
• Occasional after hours —evenings and weekend work
